Executive Assistant


Purpose of the Role:

The role of the Executive Assistant is to provide support to the Chief Executive and Senior Board of Directors, including organisation, scheduling, correspondence, human resources, and meetings. The Executive Assistant will take responsibility and ownership of office organisation, project management, deadline compliance, and important documents and files. A flexible and adaptable approach is essential to successfully deliver in the role.

Key Responsibilities/Accountabilities

Key responsibilities will include, but are not limited to:

  • Organise and schedule meetings and manage some diary requirements
  • Arrange business travel, including flights, transportation, and lodgings
  • Maintain office correspondence, crafting routine electronic correspondence, and maintaining social media presence
  • Perform reception duties such as answering phones where necessary and passing on messages in priority order
  • Manage the diaries and schedules of senior management
  • Forward planning for upcoming board meetings including strategy workshops, business planning, including timeline, participation and administration needs
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings
  • Ensure appropriate information is monitored, filtered and disseminated between the office and internal and external contacts
  • Liaise with clients, and business guests/partners
  • Support with commercial tasks related to renewals and pricing
  • Set and discuss reminders
  • Help organise events where required covering strategy sessions
  • Solve simple IT problems and contact the IT department when necessary
  • Maintain electronic filing system, ensuring processes and software are up to date and in working order
  • Manage projects and follow-up with team members where required
  • Maintain a strong working relationship with other relevant departments, including IT, HR, sales, and PR/Marketing
  • Liaise with other staff members on behalf of senior management
  • Assist with Senior position recruitment duties
  • Prepare and deliver monthly reports, set reminders and chase up for completion of actions

Essential Requirements

  • Proven experience as an Executive Assistant, PA to Managing Director or similar

  • Energetic, reliable and trustworthy

  • Experience of managing complex, demanding and confidential work with the utmost discretion

  • Demonstrable experience of managing key stakeholders

  • Ability to make well informed decisions based on all available relevant information.

  • Excellent interpersonal and communication skills with the ability to build good relationships with a range of stakeholders.

  • Good written communication skills with a strong attention to detail.

  • Advanced IT skills.

  • Willingness to travel occasionally when required
